Digital transformation continues to transform the way we live, work and interact with the world around us. We adopt new tools, platforms and processes that automate our work day, improve user experience, and keep us connected. What’s more is this is now what our clients and customers have come to expect. They want 24/7 access at the touch of a button, easy onboarding, integrated tools - but most importantly? It all needs to be secure.

With cybercrimes and attacks making news headlines and leading to some high-profile corporate casualties in recent years, it’s more important than ever that you deliver a client experience with security at the core. Cyber attacks in the UK are unfortunately not infrequent, with 39% of UK businesses identifying a cyber attack in the last 12 months (Cyber Security Breaches Survey 2022 ), and of course, due to the sensitive nature of the information and data involved, the financial sector is particularly vulnerable to these kinds of attacks. That’s why DocPortal has been developed with security built-in as standard, so that you can create a digital legacy for your client in a secure, trusted environment without compromising on client experience.

How do we do it? Here are 4 ways DocPortal secures a digital legacy for your clients…

1. Security from the ground up

DocPortal is hosted on the AWS (Amazon Web Services) infrastructure which means not only is it able to harness a global network of computing power, but it provides you and your clients with a secure and reliable application as standard. The AWS hosting model ensures that security is built into DocPortal from the ground up, so as your business scales up with additional clients and additional storage use, you’ll still experience high security and high performance. In addition, the DocPortal application resides within AWS' London region so all data is stored within the UK, simplifying data protection and data sovereignty.

Secured from the ground up, end-to-end:

  • End-to-end infrastructure security
  • Includes physical, operational and software measures
  • Limited vulnerabilities and enhanced reliability

2. Encrypted communications as standard

DocPortal is designed to make client-partner communication easy, with all information stored in one place for accessibility, simplicity and security. With a large volume of information, comms and personal documents being communicated and stored through the portal, you’ll find AES-256 encryption as standard on all documents stored and in transit. This means you can securely send all documents to your clients with two-way encryption, including on email attachments. In addition, all connections to the application are also over the https protocol using AES-256 encryption, with stored passwords also encrypted.

To put all this into context - any attempt to carry out a successful brute-force attack against AES would require an astronomical number of combinations. That number being approximately 1,100 + 75 zeroes . That’s the kind of peace of mind you can expect from DocPortal.

3. Serious information security

For us, it’s important to be consistently and proactively working towards the highest standards of security. That’s why we’ve put enterprise-grade security measures and processes in place that have earnt DocPortal the ISO 27001 accreditation. ISO 27001 is the global standard for effective information management, and verifies that DocPortal’s approach to security encompasses the overall management of information security and has sufficient processes in place to protect data from cyber attacks and breaches. By choosing DocPortal this of course also demonstrates to your clients that, as a practice, you are prioritising the security of their personal and important documents.

How does DocPortal maintain this standard?

● MFA (Multi-Factor Authentication) for user login as standard

● Proactive threat detection and intrusion prevention

● Routine and in-depth penetration and vulnerability testing

● Inbuilt live redundancy to minimise downtime

4. GDPR compliant auditing

GDPR is an essential data privacy law that many organisations will need to adhere to. As such, DocPortal ensures GDPR compliance through automated audit trails that are in line with its policies and regulations on data collection, handling and sharing. As well as meeting data security requirements, GDPR compliance also benefits organisations as a result of improved data management, simplified business processes, increased trust and credibility, and more comprehensive insights of collected data.

Investing in the security of your client’s documents and information with the adoption of an app like DocPortal demonstrates you take their legacy seriously, and that you are equipped to deliver a secure digital solution to the management of some of their most important assets. DocPortal is not just secure, but a secure tool that builds trust, loyalty and advocacy for increased client servicing and improved client experience.
